Redesign a Web Data Regulatory Platform used by 60K companies

This project highlights the overhaul and modernization of the platform, transforming it into a user-friendly interface that streamlines data submission and enables the client to swiftly address issues through a component-driven design. We updated outdated technology to establish a contemporary platform.

Overview

Product: Web-based regulatory application

Goal: To streamline the compliance process for financial organizations by providing an intuitive, user-friendly, and scalable platform that enables:

  • Faster and more accurate regulatory data submissions.

  • Improved accessibility of past and future compliance records.

  • Consistent, guided workflows to reduce user errors.

  • Seamless scalability for future regulatory updates.

Team Setup

2 UX Designers , 1 Lead UX Designers, 1 UX Researcher working within Agile scrum teams.

Duration

January 2020 - December 2020

My Role
  • As the one of the UX Designer, I took charge of solving these challenges by focusing on navigation, information architecture, and the form submission experience.

  • Worked closely with another UX designer to enhance the design system, ensuring a cohesive visual and interaction experience throughout the project.

  • Refined designs through iterative improvements based on user testing insights and stakeholder feedback.

  • Assisted the development team by providing design guidance and resolving any UX-related challenges during implementation.

The Outcome: Measurable UX Impact & Business Outcomes

Faster time-to-market by 50%

Due to a structured design system and UX guidelines, the platform could now roll out new features twice as fast while maintaining consistency.

Reduced form filling times

The new guided submission process, real-time validation, and auto-fill features led to a noticeable drop in errors and resubmissions.

“Our vision is to streamline our technology landscape, empowering us with the velocity needed to swiftly bring new digital features to market, fostering innovation at every turn. The UX strategy is helping us achieve that.”

The Catalyst for Change: A Critical Compliance Challenge

The UK regulatory authority overseeing 60,000 financial entities plays a vital role in ensuring that businesses comply with evolving data privacy laws and financial regulations. To maintain efficiency, organizations submit compliance data through the Web Data Regulatory Platform —a system initially designed to regulate 50,000 businesses.

However, as regulations became more complex and the number of users grew, the platform failed to keep up with user needs.

  • Businesses struggled to navigate the system, making regulatory reporting unnecessarily time-consuming.

  • Users couldn’t easily access past or future submissions, leading to compliance risks.

  • 180+ regulatory forms lacked essential validation and support, increasing the likelihood of errors.

  • The platform’s outdated structure made scaling difficult, delaying new feature rollouts.

These inefficiencies didn’t just impact businesses—they hindered the regulatory authority’s ability to ensure compliance, enforce policies, and adapt to evolving laws.

The client needed a modern, scalable, and user-friendly system that streamlined compliance reporting while ensuring adherence to regulatory standards.

The process

Research & findings

The UX Researcher leveraged site analytics and an online survey where 1,000 platform users and client stakeholders combined shared their thoughts on the current system and shared pain points, compliance challenges, and feature requests.

This data-driven analysis allowed the team to identify following areas of improvement

Standardize the file upload process across the platform for a consistent and intuitive user experience.

Design Decisions

Together with the UX Researcher and the other UX designers, I brainstormed to interpret findings from user studies, and integrate the insights into design strategies to enhance user satisfaction.

Here is the list of changes I designed to create a user-centric interface and workflow that simplified complex regulatory processes, making them more accessible and manageable for users.

Simplified Navigation
  • Conducted Tree Testing to validate user-friendly menu structures.

  • Created a new navigation model, grouping related functions logically.

  • Used clear, non-technical language for menu items to reduce confusion.

Streamlined Form Submission
  • Introduced step-by-step guided forms with contextual help.

  • Implemented real-time validation and error messages, preventing submission errors.

  • Used progressive disclosure to keep complex forms uncluttered.

  • Designed auto-population features to minimize manual input.

Enhanced Landing Page
  • Designed a centralized dashboard for users to track past and future submissions.

  • Improved search and filter functionalities, allowing quick data retrieval.

  • Introduced personalized user profiles to streamline workflows.

Key Learnings & Takeaways

This project provided me with a holistic experience of the UX design process, from user research and ideation to testing and implementation. Some key takeaways include:

  • The Power of UX in Regulatory Systems: Transforming complex, regulation-heavy platforms requires deep empathy for user needs and a strong grasp of compliance requirements.

  • Continuous Learning & Adaptation: Initially, understanding the intricacies of financial regulations felt overwhelming. However, thorough research and iterative design allowed me to craft an effective, user-friendly solution.

The project’s success demonstrated how strategic UX design can drive efficiency, compliance, and user satisfaction—and continues to shape the evolution of regulatory technology.
